Understanding SAP FI Authorisation concepts

SAP FI Authorisation concepts

Authorization is like giving someone permission to do certain things. In SAP systems where many people use the same system, an SAP Basis Administrator decides who can use it and what they can do. The idea behind SAP FI authorization concepts is to ensure only the right people can use certain parts of the system. After logging in, users can only do what they’ve been permitted to do.

Users need special permissions called SAP FI authorization concepts to use different parts of the system, like performing tasks or using specific tools. These permissions are based on the tasks each person has to do. They are put together in a group called an authorization profile, which is then linked to a specific role. User managers assign these roles to users so they can do their jobs using the right tools in the system.

Explaining the SAP Authorization Concept in Detail

User Master Record

Think of this as a user’s ID card for the SAP System. It lets them log in and use different parts of the system, but only within the limits set by their role. The user master record has all the info about the user, including what they’re allowed to do. Any changes made to their permissions only take effect the next time they log in. They won’t notice any changes if logged in once they log out and back in again.

Single Role

This is a unique setup made using a tool called the profile generator. It automatically creates a set of permissions for the user. The role includes all the permissions the user needs and the menu options they’ll see when they log in.

Composite Role

Think of this as a collection of different roles put together. It can include as many roles as needed.

Generated Authorization Profile

This is done using the role maintenance tool and data from the roles.

Manual Authorization Profile

Instead of adding individual permissions directly to a user, grouping them into authorization profiles is better. Changes made to these profiles will affect all users assigned to them the next time they log in. The SAP FI authorization concepts make it easier to use the profile generator tool to assign profiles automatically rather than manually.

Composite Profile

This is like a mix of different permission sets. It can include as many permission sets as needed.

Authorization

SAP financial authorization basics are permission to do something in the SAP System. Specific values in certain fields define it. Authorizations let you perform tasks in SAP based on these values. You can set single values and ranges, allow all values, or leave fields empty.

When you change authorizations, they affect all users who have those permissions. As an administrator, you can update authorizations by adjusting SAP’s defaults using role maintenance or making manual changes. Manual changes take effect immediately for users.

The programmer decides when and how to check authorizations. The program compares values in the program to a user’s permissions to see if they’re allowed to do something. In the profile generator, authorized lines are marked yellow.

Authorization Object

An authorization object is a collection of related information determining if someone can do something in the system. It checks multiple conditions to see if a user has permission to perform actions. Users need authorization to do things in the system, and all parts of the authorization object must be set correctly in the user’s profile for the check to pass.

SAP FI authorization concepts are objects grouped into classes for more accessible organization. Each class represents a different area of the system, like financial accounting or human resources. In the profile generator, lines for object classes are colored orange.

You can double-click on an authorization object to see how authorization values are set. In the profile generator, lines for authorization objects are colored green.

Authorization Fields

This is where you set specific permissions values. It’s linked to data elements stored in the system’s dictionary.
